Schedule scenes on the strip board

The strip board is the main scheduling surface in SceneItAll. It shows your shoot days as a vertical list, each holding the strips (scenes) you’ve scheduled for that day. Use it to drag scenes into days, set the shooting order, mark strips complete, and spot conflicts. This article covers the everyday strip-board tasks and explains what the board shows.

Before you start

  • A scenario is active. If the board is empty, use the Create scenario button first (see Create and manage scenarios).
  • The scenario has at least one shoot day (see Add and edit shoot days).
  • The scenario is not locked. A locked scenario is read-only; unlock it from the three-dot menu beside the scenario dropdown to make changes.

Layout of the strip board

The Strip Board tab has four areas:

  1. Header — the scenario dropdown sits immediately to the right of the tabs, followed by its three-dot Scenario actions menu. The unit selector, Reschedule, Detect conflicts, and + Add actions sit on the far right.
  2. Day list — the main area, one collapsible group per shoot day.
  3. Unscheduled pool — a panel on the right (at 900px and wider) holding current production scenes that aren’t on a day yet.
  4. Color key — a compact floating card centered below the board on the desktop app. It explains the INT/EXT and time-of-day strip colors, plus the green On track and red Conflict indicators. The key is display-only.

Use the eye icon directly above the settings cog in the left sidebar to hide or show the color-key card. The choice is shared with the Breakdown page and remembered on this device. When the key is hidden, the board expands into the space it used. Companion layouts do not show the card.

Schedule a scene

To schedule a scene, drag its strip from the unscheduled pool onto a shoot day:

  1. Find the scene in the unscheduled pool on the right.
  2. Drag its strip onto the target day’s group in the day list.
  3. Drop it where you want it in the day’s order.

The strip moves out of the pool and onto that day.

Schedule several scenes at once

To move a group of scenes together, turn on multi-select with the checkmark toggle at the top of the unscheduled pool. Each strip gains a checkbox - tick the ones you want, then drag any ticked strip onto a day and the whole group moves with it. Use Select all (next to the toggle) to tick every scene currently shown in the pool; if you have filtered or searched first, Select all picks only the scenes on screen, not every unscheduled scene. The same checkbox-and-drag works in reverse to unschedule a group back to the pool.

You can also select several scenes at once by holding Shift and dragging a rectangle over the strips you want in the unscheduled pool. This automatically turns on multi-select and selects every scene strip under the rectangle (banner strips are not selected). Then drag any selected strip onto a day to move the whole group together.

On desktop, the same Shift-drag gesture works across visible scene strips that are already scheduled. Every touched scene strip joins the current selection, while day banners and change markers are ignored. Drag any selected strip to use the existing group-move behavior; this works even if Shift is still held. Starting over empty space or an unselected strip begins another marquee, while starting over a selected strip moves the selected group. The selection clears after a successful group move and stays selected if the move fails so you can retry. Scheduled marquee selection is unavailable when the scenario is locked and in Companion layouts. On macOS, either physical Shift key works; start the drag while Shift is held and leave Command and Option released.

Reorder scenes within a day

To change the shooting order, drag a strip up or down within its day. Drop it in the new position, and the strips around it shift to make room. You can also drag a strip from one day to another to reschedule it.

On desktop, double-click a scene strip to open its stable production scene in Breakdown. Breakdown shows the latest production-ready scene details while the strip keeps its scenario-specific day and order. The shortcut remains available while a scenario is locked. Banners do not open scenes, and Companion layouts do not provide this shortcut.

Unschedule a scene

To take a scene off the schedule, drag its strip back onto the unscheduled pool. The strip returns to the pool and the day’s stats update.

Mark a strip complete

To record that a scene was shot:

  1. Select the checkbox at the right end of the strip.
  2. In the completion dialog, enter the actual start and wrap times, and optional setups and notes.
  3. Confirm.

The strip switches to the Completed look (dimmed, with a line through the scene number). To revert, clear the checkbox — the strip returns to Scheduled.

Edit or delete a strip

To edit or remove a strip, open its three-dot menu (Strip actions) at the right end of the row, then choose Edit or Delete. Deleting a scheduled strip removes it from the board; the scene itself stays in your breakdown.

What a strip shows

Each strip is a compact 40px row. From left to right it can show:

Strip status

A strip’s appearance reflects its status:

If a newer revision removes a scene that was already scheduled, its strip stays on its shoot day so the production plan is not silently changed. The strip shows an Absent from latest revision warning. Unscheduled scenes removed by the newer revision leave the pool; if a later revision restores the scene, it returns with its prior stable breakdown and scheduled placement.

The day banner

Each shoot day starts with a banner you select to expand or collapse the day. The banner shows the day number, calendar date, primary location, crew call time, page stats (scheduled and remaining), cast and extras counts, estimated wrap, and a page-target status pill. On track is green when the day is at or below 100% of its page target; Over target is red when it is above 100%.

The banner’s left border is color-coded, and the color always appears with a label or pill so it never carries meaning alone:

  • Purple — a night shoot (crew call at or after 17:00).
  • Red — the day has warnings.
  • Grey — a normal day.

Red warning pills appear on the banner when something needs attention: No lunch (clear it by acknowledging the meal break), Empty day, No call time, No page counts, No date, and the conflict count. Acknowledged lunch remains green to show that action is complete. Select a conflict pill to open the conflict (see Detect and resolve conflicts).

Day notes appear directly on the banner. Long notes show two lines at first; use Show more and Show less to expand or collapse them without losing line breaks.

The banner’s three-dot menu (Banner actions) holds the day-level actions: Edit Day, Add Banner, View Summary, Add Change Marker, Detect Changes, Move Up, Move Down, and Delete Day. These are covered in Add and edit shoot days, Add strips and banners, and Track changes with change markers.

Filter and search the board

  • Search strips — type a scene number or set in the Search strips… field to filter the board.
  • Filter by unit — when a scenario has more than one production unit, use the unit selector (it defaults to All Units).
  • Filter the pool — in the unscheduled pool, use the filter toggle to filter by INT/EXT and time of day, sort by Scene #, Location, Pages, INT/EXT, or Time, and use Clear filters to reset. The multi-select toggle lets you drag several strips onto a day at once, with Select all to tick everything currently shown.

Display settings

Some strip fields are always shown; the rest you can turn on or off. The board saves your choices per project.

  • Always shown: scene number, INT/EXT, time of day.
  • Toggleable: set, synopsis, page count, cast numbers, extras count, unit badge, special flags, script day, revision color, and estimated duration. The day banner adds cast IDs, extras count, estimated wrap, and sunrise/sunset with daylight hours.

To change which fields appear, open the schedule settings from Global Settings → Schedule.

The Schedule pages also hold project-wide timing defaults:

  • Timing sets the target script pages per shoot day.
  • Scheduling rules sets lunch, turnaround, night-shoot, and conflict thresholds.
  • Prep times sets the default wardrobe and makeup minutes.
  • Display controls whether schedule days show sunrise and sunset.

When you edit one of these values, Save settings becomes available in the Global Settings footer. Your edits remain a draft until you select Save settings; selecting Cancel, closing the dialog, or moving to another settings page discards the draft. Strip-display and day-banner checkboxes, plus production-unit actions, continue to apply immediately.

Production units also have a Call Sheet color code setting. That saved color is used by the Call Sheet Library; the Schedule page deliberately shows all units in the same blue so units are easy to recognize without adding another color system.

Work from the editable Calendar

The original Strip Board remains available as its own tab. Calendar combines the month, one selected complete day, and the Unscheduled pool. Select an occupied date, then choose the relevant unit when more than one unit works that date. The lower panel provides the same full day editor used by scheduling, including strip placement and ordering, banners, notes, day actions, conflicts, and date rescheduling.

Unscheduled rows show up to two lines of synopsis when one exists; hover truncated text to see it in full. Pool text search matches scene number, Set, synopsis, slug/description, INT/EXT, and time of day, and continues to combine with the structured filters.

On desktop, double-click a scheduled or unscheduled scene to open its stable production scene with the latest production-ready details. Back to Schedule and the browser Back button restore the live Calendar context, including the month, selected unit/day/scene, panel split, Unscheduled filters, and scroll position. Companion retains its existing read-only behavior.
